Protection of personal information

- Personal information
This policy covers information collected by the Center over the course of its activities from which you can be identified.
Specifically, the Center's policy on protecting personal information applies to any information collected on you by the Center over the course of its activities, whether in writing, through electronic media, or over the Web, from which you can be identified; this includes your name, home address, telephone number, e-mail address, and place of employment. (It also covers information that, though not on its own allowing you to be identified, can easily be collated with other information to identify you.) The Center abides by all legislation and guidelines in protecting such personal information.

- Use of personal information
Only within the limits necessary, the Center uses the personal information it collects on you to perform the following functions:

1. To facilitate internal discussions on the planning and convening of conferences and events, such as workshops, and to contact you about them
2. To administer questionnaires designed to help with survey and analysis work, and to send out questionnaire forms
3. To pursue programs at the Japan International Science and Technology Exchange Center

- Provision of personal information
The Center will not make any personal information it collects on you available to third parties except in the following cases:

1. If we have obtained your permission
2. If we receive an inquiry from the Ministry of Education, Culture, Sports, Science and Technology or another government agency, or from a regional or local government; and sufficient reasons exists for providing your personal information to the body in question, the information being necessary to the pursuit of its functions
3. If otherwise deemed necessary in light of the law
   Even if your personal information is made available to a third party as above, all necessary steps will be taken to protect it, such as restricting purpose and method of use.

- Management of personal information
The Center rigorously manages the personal information it collects, using it only for the purposes stipulated above. It makes every effort to prevent and remedy cases of unauthorized access, loss, destruction, tampering, and leakage. It also implements rational security measures through such systemic steps as ensuring that employees are properly trained and restricting access.
When contracting an outside party to handle personal information that it has collected, the Center selects an appropriate outsourcer in accordance with JISTEC guidelines. It then concludes an outsourcing agreement that specifies whether or not the outsourcer may outsource to another party in turn; contains clear provisions on the outsourcer's duty of confidentiality, the term of the agreement, and steps to be taken in case of accident; and makes provision for the return or erasure of personal information once the contract expires, and for annulment of the agreement should the outsourcer violate its terms.

- Verification, correction, and deletion of personal information
The Center will promptly respond to any request from you to verify, correct, or delete personal information on you in its possession, for which purpose it will put in place the necessary organizational infrastructure.

- Miscellaneous
In pursuit of ongoing improvements in protection of personal information, the Center is committed to conducting regular internal or external audits.
